From spreadsheets to structure

We switched to PawPlacer about 8 months ago after years of running everything out of Google Sheets and shared folders. It worked… until it didn’t. We had separate trackers for intake, medical, fosters, and applications, and someone always had to cross-check them before making a decision.The migration tool surfaced almost 500 duplicate or outdated records we didn’t even realize were there. Duplicate adopters, animals in the wrong status, notes buried in comment threads. Cleaning that up alone reduced a lot of the small mistakes that eat up time every week.The biggest change has been around timing. Intake to adoption used to average a little over three weeks for us. Lately it’s been closer to two and a half. Application reviews that sometimes stretched 5–7 days are usually handled within a couple now, mostly because it’s clear what’s waiting and who it’s assigned to.Medical follow-ups and post-adoption check-ins don’t slip through the cracks like they used to. Before, that lived in someone’s personal to-do list or an email reminder. Now it’s visible and tracked.Pulling monthly numbers used to mean blocking off a few hours to reconcile spreadsheets. Now we can see intakes, adoptions, and return rates without rebuilding everything manually.We’ve run 400+ placements through PawPlacer so far. It hasn’t magically changed how we operate, but it’s removed a lot of the friction that comes with growth. For a volunteer-heavy rescue, that’s been the difference between feeling constantly behind and actually feeling in control.

More adoptions with less stress

We switched to PawPlacer after outgrowing Airtable and a patchwork of Google Drive folders. I was honestly worried about moving 300+ active animal records and years of adoption history, but the transition was smoother than expected. We imported everything over a week and didn’t lose data.Before PawPlacer, our intake-to-adoption process averaged about 21 days because information lived in too many places. We were constantly double-checking vaccination records, foster notes, and application status. Within three months of switching, that dropped closer to 14 days simply because everyone could see the same information in real time.What’s made the biggest difference is the foster coordination. We have 80+ active fosters, and the mobile access means updates actually happen when they’re supposed to. Our volunteers don’t need training sessions anymore. They log in and figure it out.We’ve processed over 320 adoptions through PawPlacer so far, and our admin workload has noticeably decreased. I used to spend 10–15 hours a week reconciling spreadsheets. Now it’s a quick update in PawPlacer. The team behind it listens. We’ve suggested small workflow tweaks and seen them implemented quickly. It feels like the software is built with rescues, not just sold to them.If you’re serious about scaling your organization without burning out your volunteers, this is the first system we’ve used that actually supports growth instead of creating more admin work.

Currently using this app for our shelter...

Currently using this app for our small adoption/shelter and the program is intuitive, functional, innovative, properly sized, and comfortable for our users. When I've had questions or suggestions the support team was fantastic! They appreciated my feedback and explained the work flows and options available that fit our needs. Kyle and his team from around the globe are a sincere group that is doing a great service to placement of paws.

We moved to PawPlacer earlier this year…

We moved to PawPlacer earlier this year after realizing our mix of spreadsheets and random tools just wasn’t cutting it anymore. I expected a long, stressful transition, but it was actually pretty straightforward. We imported our animals and adopters over a weekend and were using it fully by Monday.What I appreciate most is that it doesn’t force us into someone else’s idea of how a rescue should run. We were able to tweak statuses, fields, and workflows to match how we already operate instead of retraining everyone from scratch. That alone saved us a lot of frustration.Our volunteers picked it up quickly, especially on their phones. Most of our team is rarely at a desk, so that matters more than I realized. It’s organized without feeling complicated.When we’ve had questions or small suggestions, we’ve gotten real responses from real people. Things actually get addressed. It feels like the platform is still growing in a good way, not stuck.Overall, it’s just made our day-to-day smoother. Less time chasing information, more time focusing on placements and supporting our fosters. That’s really what we needed.

Wholeheartedly Recommend

We started using Pawplacer with relatively low hopes since there wasn't much information about it, but it was free to sign up so we bit the bullet. Best decision our rescue has made in the years we have been around. Our volunteers who tend to veer on the younger side genuinely enjoy using the website, which in comparable to how they felt with our previous system.As an admin, I've noticed how customizable it is. Before, we had to adjust our workflow to a rigid platform but now we just change some settings to get the software to work with our workflow. It sounds small but it makes a big difference.One good and bad is that it evolves so quickly that we are unaware some features exist until we reach out, but that's more of a pleasant surprise than anything else.Our volunteers and I wholeheartedly recommend Pawplacer to anyone.

I am continuously impressed by pawplacer

I am continuously impressed by the pawplacer staff and their responsiveness. When we ask about features that don't exist currently they build them for us. When anyone from our org messages them they get immediate responses. Pawplacer has facilitated over 140 adoptions for us and we can testify to their no-fee structure. We recommend this to any org tired of what exists now

Large features list

I am with 6 people operating a dog adoption location in Lyon. We are very happy there is translations. They are in the United States but their website is great here. We specially use the upcoming page to not miss important events and responsibilities. I often found more abilities and pages that other softwares do not include.

Even the free plan is enough and the best platform

Our rescue has been on the free plan for around half a year and still able to use the platform fully. We love the task boards and have moved from Trello entirely to this. Many features were added since we started that we learn about as we poke around the site. There are things here and there that are missing or could use some attention but those are always worked out automatically or added the next time I check. It is the only platform we have ever tried that worked on phones and iPads and we use those more than we use computers.I see no reason to ever go back to another platform and expect more features I want to be in Pawplacer soon.

Game Changing Software

When you run an animal rescue, you always have your hands full saving lives and taking care of everything in between. I needed a way to manage people, animals, documents, and every other aspect of my organization in one place, but nothing seemed to exist. I thought I was going to be stuck with Google Sheets forever, but then I randomly came across PawPlacer. The first thing I noticed was that it worked so well on my phone! Every single detail of my organization is kept in one mobile friendly place. I found PawPlacer very early on in starting my organization. It Has Worked Well for Us

One of our volunteers mentioned this application after joining us from a shelter in the United States. I was hesitant at first, as we were comfortable with our existing processes. Very happy with pawplacer

Our small rescue has been using Paw Placer for over a year now and feel like we found a diamond in the ruff. They appear as a group who care about animals and helping orgs like ours.There are some features that are missing or a small bug, but their developers always fix or implement it immediately. I've never waited long for an issue to be resolved.I'm biased as an early adopter and was worried they might not make it but over a year later I still see work being done on it.

Incredible service and a user-friendly system!

If you are looking for a service to not just hold rescue/shelter data, but one that continues to update and improve the system based on how you use it, PawPlacer is the one to choose. It is almost endlessly customisable, and given how differently each rescue works this is an amazing feature!Our charity is based in the UK, so we got in touch just to enquire if they'd consider supporting other countries in the future. Instead they immediately got to work putting this support in place, and communicated with us at every step. Their team's response to requests for help or additions to the system is incredibly fast and we've been very impressed by how they adapt and innovate based on feedback. The platform is really user-friendly, and we have been able to tailor it to our rescue to really make it work for us.

PawPlacer is a robust platform for animal management, whether your organization has a facility or is foster-based. It is particularly easy to use on mobile, which is where most platforms fail.Their team is communicative, adaptable, and easy to work with as they implement feedback quickly and effectively.
